Applications & Approvals
Review Every Vendor Without Living In Your DMs
Telegram messages, payment screenshots, a spreadsheet of who paid and a separate chat for who got in. BookASquare puts the whole application on one order: the booth they picked, their answers, their payment, and your decision.
Asking
Ask What You Need To Know
Your booking form, your questions. Vendors answer them as part of checkout, so nobody has to chase anybody.
Vendor Questions
Your Questions, Built Into The Booking
Add questions for vendors, for attendees, or for both: short answers, longer text, dropdowns, checkboxes, emails, phone numbers and links. Make the important ones required, and show some only with certain booth types.
Every booking also asks for a brand name, so your vendor list reads the way your visitors know them.
Approval Mode
Choose Which Booths Need Your OK
Set approval on the booth types where it matters, like a curated artist alley or a premium corner, and leave the rest to confirm on their own.
While a booking waits, the booth shows as pending review on the map. Nobody else can take it, and it doesn't time out.
Deciding
Accept Or Decline, With Everything In Front Of You
One Screen
Verify The Payment And Accept In One Step
Open the order and you'll see the booth, the vendor's answers and their proof of payment together. Check your bank, record what arrived, and accept the booking in the same step.
Declining takes a reason, which the vendor gets by email and sees in their account. If they had already paid, the order records that a refund is due.
Your Team
Share The Work Without Sharing A Password
Invite your team and give each person a role. Owners, Admins and Event Managers decide on bookings. Finance verifies payments and records refunds. Check-In Staff scan tickets at the door. Viewers can look without changing anything.
Event Managers and Check-In Staff only see the events you assign them to.
Keeping Track
A Clear Record Of Every Decision
Decisions On The Order
Every accept, decline and cancellation is recorded on the order with its reason, so anyone on your team can see what happened.
Who's Exhibiting
Once vendors are confirmed, you can list them on your event page by brand name and booth number. Off until you turn it on.
Export Your Vendor List
Download your orders as a CSV, with one column per question, for the venue, your sponsors or your own records.
Questions People Ask
Do I Have To Approve Every Booking?
Only if you want to. Approval is set per booth type. Leave it off and bookings confirm as soon as payment is verified. Turn it on for curated sections, and those bookings wait for you.
Does A Vendor Pay Before Or After I Accept Them?
Before. The vendor picks a booth, pays and uploads proof, and the booking waits for your review. If you verify the payment and accept in one step, it's confirmed straight away. If you decline, the order records that a refund is due, and you refund the vendor yourself.
What Happens To The Booth While I Am Deciding?
It stays reserved for that vendor. On the map it shows as pending review, so no one else can book it, and it doesn't expire while it waits for you.
Can I Ask Vendors For More Information?
Yes. Add your own questions to the booking form, like their Instagram handle or what they sell. While reviewing, you can also send a Request Information message about their payment.
Can My Team Help Review Applications?
Yes. Invite them and choose their role. Owners, Admins and Event Managers can accept and decline bookings; Finance can verify payments and record refunds; Check-In Staff only scan tickets; Viewers can look but not change anything.
Swap The Chat Threads For One Booking Page
