How It Works

From Floor Plan To Front Door

Here's what happens on every side of your event: what you do as the organizer, what your vendors see when they book a booth, and what your attendees see when they buy a ticket.

For Organizers

Six Steps To A Full Floor

You can save a draft at any point. Guided setup walks you through what's missing before you publish.

  1. Step 1

    Create Your Event

Add dates, venue, cover photo, gallery, description, FAQ and your event terms. One-day and multi-day events both work.

  2. Step 2

    Set Ticket And Booth Types

Admission tickets with capacity and sales windows, booth types with prices, plus add-ons like power points or extra chairs.

  3. Step 3

    Draw Your Floor Plan

Place booths, tables and zones, trace over your venue plan, and link each booth to its booth type and price.

  4. Step 4

    Publish And Share

Share your event page, or links that show only the vendor side or only the attendee side. Password-protect either side if you like.

  5. Step 5

    Approve And Verify

Buyers pay you directly, by card or by transfer with proof. You confirm transfers and, where you chose to, accept or reject vendor bookings.

  6. Step 6

    Check People In

Scan ticket QR codes with any phone or a handheld scanner, or look people up by name, email or order number.

For Vendors

What Your Vendors See

Pick A Booth, Pay, Done

1. Pick a spot. Your vendors open the booth map on their phone, zoom in, and tap a free booth to see its price and what's included. They can switch to a list view too.

2. Add extras and continue. They choose any add-ons, and the booth is held for them while they enter their details, brand name and your questions. No sign-in needed.

3. Pay you directly. By card if you take cards, or they scan your PayNow or bank QR, transfer, and upload a screenshot. The booth stays reserved while you check it.

4. Get confirmed. Once you verify the payment (and accept them, if that booth type needs approval), they get their passes by email and in their account.

For Attendees

What Your Attendees See

A Ticket Without Signing In

1. Choose tickets. Choose quantities and any extras like parking.

2. Check out without signing in. Name and email. The order is saved to a free account under their email.

3. Pay and get the QR. Once their payment is confirmed, every ticket gets its own QR code, by email and in their account on any device.

4. Show it at the door. Your staff scan it with a phone. A ticket can only be used once.

Share Links

One Event, The Right Link For Everyone

Vendors don't need to see ticket prices, and attendees don't need the booth map. Each event has share links that show only the vendor side or only the attendee side.

Running an invite-only vendor list? Put a password on the vendor side. Your attendee page stays open to everyone.

Questions About Getting Started

How Long Does It Take To Set Up An Event?

It depends on your floor plan. The event page and ticket types take minutes. Drawing the map is the longest part; you can trace over a photo or PDF of your venue's floor plan to speed it up.

Does Selecting A Booth Reserve It?

No. Tapping a booth only selects it on the buyer's screen. It is reserved when they continue to checkout, for 20 minutes.

What Happens If A Buyer Doesn't Finish Paying?

The reservation expires and the booth or tickets go back on sale automatically. Nothing is charged and nothing is booked.

How Long Do I Have To Verify A Payment Proof?

Once a buyer uploads proof, their booking stays reserved while you review it, so there is no rush. You can also ask them for more information from the order page.

Can I Share A Link That Only Shows Booths, Or Only Tickets?

Yes. Your event page has share links that show only the vendor side or only the attendee side, and you can password-protect either side.

Can My Team Help On The Day?

Yes. Invite team members with roles such as Event Manager or Check-In Staff. Check-In Staff can scan tickets without seeing your finances.

Do Buyers Get Emails?

Yes, buyers get email updates about their order from no-reply@bookasquare.com, and the confirmation includes their QR codes. Their order and its live status are also in a free account under their email, on any device.
