For Vendors

Book Your Booth In Minutes, Not Days Of Messages

Pick your spot on the organizer's floor map, add any extras, pay them directly and find everything in your account. No sign-in to book, no app to install.

Good To Know

BookASquare Is The Software, The Organizer Runs The Fair

When you book a booth, your booking is with the organizer of that event. They set the prices, the rules and the refund policy. We make the booking itself clear and fair for everyone.

One Booth, One Vendor

A booth can never be sold twice. If two people press Continue on the same booth at the same moment, only one gets it, and the other is told straight away.

Your Money Goes To The Organizer

You pay the organizer by card, PayNow, bank transfer or another local payment app. BookASquare never holds it.

You Always Know Where You Stand

Your account shows whether your payment is waiting, checked, or needs more information, and what to do next. You get an email at each step too.

How It Works

From Floor Map To Confirmed Booth

  1. Step 1

    Pick Your Spot

Open the event's booth page. Pan and zoom the map, open it full screen, or switch to the list. Tap a booth to see its price and what is included.

  2. Step 2

    Continue, Then Add Extras

Choose any add-ons the organizer offers, like a power point or an extra chair. Continuing to checkout reserves your booth for 20 minutes while you fill in your details and your brand name.

  3. Step 3

    Pay

Pay by card, or transfer to the organizer and upload a screenshot or PDF of the transfer, within the 20 minutes.

  4. Step 4

    Get Confirmed

The organizer checks your payment and, for some fairs, approves your booking. Then your vendor passes arrive by email and appear in your account.

Paying

Pay The Organizer, Then Show Them It Arrived

If the organizer takes cards, you can pay by card and you are done. For a transfer, the payment step shows the organizer's PayNow QR or bank details, the exact amount and a reference. Transfer from your banking app, then come back and upload a screenshot or PDF of the transfer. Photos from your phone in any common format are converted for you.

Paid less than the total by mistake? Your booking shows what was received and what is still to pay, and the organizer will ask you for the rest.

While You Wait

What The Statuses Mean

Pending review means the organizer still needs to check your payment or approve your booking. Your booth stays held for you meanwhile.

More information needed means they have a question. Read their message in your account and send a new proof if they ask.

Confirmed means you are in. Your passes, with their QR codes, arrive by email and show in your account with your booth number.

Your Account

One Place For Everything, On Any Device

Every booking is saved to a free account under your email. Sign in from any phone or laptop to see your status while you wait, upload a payment proof, and get your passes and invoices once you are confirmed.

Keep your password and your pass QR codes private: a QR code works like a ticket.

Refunds And Questions

Talk To The Organizer First

The organizer's contact details are on the event page and on your booking. Refunds, changes and setup questions are theirs to answer, under their own event terms.

Questions People Ask

Do I Need An Account To Book A Booth?

Not to book. You book with your name, email and phone, and the booking is saved to a free account under that email. We email you a link to set a password so you can sign in later.

Is My Booth Reserved As Soon As I Tap It?

No. Tapping only selects it on your screen. The booth is reserved for you when you press Continue, for 20 minutes. That covers your details, any add-ons and your payment.

What Happens If My Reservation Runs Out?

The booth is released so someone else can book it. If you already transferred money, contact the organizer with your order number so they can sort it out with you.

Who Do I Pay?

The organizer, directly. BookASquare never holds your money. Pay by card if the organizer offers it, or transfer to the PayNow or bank account shown on the payment step and upload a screenshot or PDF of the transfer.

Why Does My Booking Say Pending Review?

The organizer still needs to check your payment, or approve your booking, or both. Some fairs review every vendor before confirming. Your booth stays held for you while they do.

What Does More Information Needed Mean?

The organizer has a question about your payment. Sign in to your account, open the booking, read their message, and send a new proof if they ask for one.

I Only Paid Part Of The Amount. What Now?

Your booking shows what was received and what is still to pay. The organizer will ask you for the rest; when they do, transfer the balance and upload the new proof from your account.

Can I Get A Refund?

Refunds are decided by the organizer under their own event terms, which are linked on the event page. Ask the organizer first. BookASquare does not decide refunds.

Where Do I Find My Booking?

In your BookASquare account. Sign in at bookasquare.com/account with the email you booked with. It shows your booking on any device, and your passes once confirmed.

Something About A Listing Looks Wrong. Who Do I Tell?

Email support@bookasquare.com with the event link and what you noticed. We look at every report.
